Annual Meeting

The 2020-2021 Annual Meeting was called to order at 1308. In attendance… President Ron Goyea Jr. Board of Directors Chuck Bullard, Terry Cleveland, Matt Morgan, Secretary Treasurer Travis Cole and members Kevin Howe, Loren Hollenbeck, Zac Cole, Brent Cole, Tim Green, Terry Cleveland, Kermit Blanchard, Russell McEwen, Wayne Darrah, Bob Benware, Bill Riggs, Charles Merriman, John Smith, Gil Simons, John LaBarge, Jeff Darling, Mike Elsner, Dick Coates, Richard Murphy, Jeremiah Hammill, Brad Lincoln, Ed Laclair, Doug Malette, Rod Malette and Ryan Degon.

COVID-19- current pandemic was discussed and the B.O.D. please asks that members stay in line with CDC and NYS Health guidelines. If you are feeling ill, or not comfortable please stay home at that time. We have signs posted, and hand sanitizer and disinfectants on site. Its normal operating procedure to sign yourself and your guests names into the book at the main Lodge. That is more important now than ever in case we have to notify those of a possible exposure.

Minutes- September Monthly meeting minutes approved. If you know of someone not receiving the minutes please have them contact the secretary. It’s very important that members read the meeting minutes as they contain up to date information.

Membership- The club is at full membership with 140 members, 24 honorary members and still 9 on the waiting list. 4 new applicants were approved, Ryan Mason, Kevin Friedel, Todd Bailey and David Smith. This brings our total on the waiting list to 13. A list of our new members was read off at the meeting and those in attendance introduced. All members have been given two membership stickers, one for your main atv/utv and one for your vehicle. 3 different orientations were given this summer for prospective members on the waiting list. This was very productive in letting those waiting list members know the guidelines and operating procedures. A tour of the property was also given. We will continue those orientations this year.

Treasurers Report- The club finished off the 2019-2020 membership year with approximately a $5,000 net income. This was a good year even though we lost a few fundraisers due to the pandemic. Our Annual Raffle grossed $40,440 and netted $30,440. Please help in the future by making sure all the information is filled out on any raffle tickets we sell. This helps us getting those rewarded in a timely fashion. Reminder that membership dues are due by September 1st.

Deer Management- Soybean bales and corn are on the property for winter feed, Alfalfa will be on site shortly. Reminder there are no does to be taken during any hunting season. Bucks must have 4 legal points and honorary members may shoot a spike horn. Members report seeing many deer feeding in the food plots throughout the club.

Recreation- Many of the out camps were reserved most of the summer and ATV/UTV use was at an all-time high. Please remember to be safe and that our road speed limits are 15mph.

Fundraising- At this time our annual ladies night dinner has been cancelled as we are trying to keep large gatherings down. We are still running three meals a day and encourage those to stop in and have a hot meal from our Cook Linda. Linda will be off the premises on Tuesdays. Check out our facebook page as Linda will try to update our menus. Try to sign up in advance for meals. You can do this by calling the club.

Buildings and Grounds- Again the membership expressed how nice the egg pond camp is. Again a huge thank you from the floor for those involved in that project. We will look at renovating cooperage next.

Roads and Trails- New signs have been going up on roads and trails. Larry has been continually working to make our roads better. Reminder road speed limits are 15mph.

Kitchen- It has been normal in years past for the kitchen to take a loss during the hunting season. We did again last year but were much closer to a breakeven year. Please stop in for a meal even if you’re not a hunter. Linda provides 3 great meals a day. Prices are Breakfast $6, Lunch $8 and Dinner $14. We have takeout trays, even consider taking a meal to go. Items keep coming up missing from the kitchen. Please do not remove anything from the kitchen to take to out camps.

Caretakers Report- Larry would like to thank those who volunteer their time to help around the club. This includes the Egg Pond Project, Mtn View roof, the barn being painted, roads and trails being cut back and all the wood that was cut and delivered to out camps without having a work weekend. Thanks again!

Reminder: do not burn garbage in the outside fire pits. Please remove your personal trash off the premises and remember to replace any gas you use in the lodge generator.

Old Business

Reservations- The online reservation system is up and running. Camp reservations must be made there under the member’s portion of the website. Username is weller and password is fivemile. The password will be changed to countyline on Friday 10/30/2020. There are still a few bugs and recommendations we are working out. We will have to fine-tune this for a bit, but the system seems to be already working well.  Members have found it easier to type the in and out dates instead of clicking the date on the calendar. Reservations may be made for camps from now until March 31st. Our January lottery will be for camps from April 1st until September 30th. A lottery will also take place on Memorial Day and that will be for camps from October 1st through December 31st.  The outlying camp procedures and lottery forms will be emailed with the minutes.

New Business

Campers- If you are uncomfortable staying at the lodge or in an out camp due to the size of the group, we encourage you to bring a camper or trailer to the property. There are several areas around the lodge you can park one. Please check with the caretaker if you are unsure.

Web Page- Several updates are taking place on the website. This includes membership list, minutes, and photos. If you have any further suggestions please contact the board. Thank you to Tim Baker for helping with the updates.

AED- Our current AED in the bathroom is outdated. Tim Green brought us 3 quotes. The Board made a decision to replace this with a new one for $1350.00. A training will take place during spring work weekend.

Log Book- Reminder to sign in and out with your name and the names of your guest.

Mouse issue- This was a bad year for mice. A member suggested instead of using poison to try a repellent. We will look into this and give it a try.

Election of Officers- Travis Cole and Terry Cleveland’s terms on the board are up. Terry can run again, but Travis has ran 2 consecutive terms and cannot run again. Chairman Chuck Bullard asked for nominations from the membership. Kermit Blanchard nominated Terry Cleveland and Zac Cole nominated Josh Foster. Both have accepted there nominations. There were no other nominations made. The Secretary cast 1 vote for Josh Foster and Terry Cleveland and asked that the polls be closed. Terry will serve another term and Josh Foster will join the board in Travis Coles spot.
